Every mailbox is divided into two sub-trees. First is the interpersonal messaging (IPM) sub-tree, which contains the normal and visible folders like inbox, sent items, calendars, etc & the second one is non-interpersonal messaging (non-IPM) sub-tree, which contains internal data, preferences, and other operational data of the mailbox. The recoverable items folder is inside the non-interpersonal messaging sub-tree of each mailbox. This sub-tree is not visible to users using Outlook, Outlook on the web, or other email services.

- Deletions- This is the subfolder that holds everything that was removed from the delete items in the recoverable items folder Whenever a user erases emails from their Outlook using the Shift+Delete combination, those emails are moved to the Deletions folder. This inner folder is accessible to users via the Recover Deleted Items option in Outlook and Outlook Online.
- Purges- Purges are the folders which are not visible to end users. If either Litigation Hold or single item recovery is enabled, this subfolder contains all hard deleted items.
- Versions- If the In-Place Hold, Litigation Hold, or a Microsoft 365 retention policy is activated, this subfolder holds the actual copy of the document along with a copy of the document before any modifications. Along with that, this subfolder is not accessible to end users who are outside of the organization.
- Calendar Logging- This is the folder that contains all the changes made in the calendar that will occur within a mailbox. This is the folder that is not available for users.
- Audits- If mailbox audit logging is activated for the mailbox items this subfolder holds the entries in the audit log.
Process to Configure Deleted Item Retention For a Mailbox
Before performing this procedure, first, you need to be assigned permissions. Then, Use Office 365 admin center to configure the deleted item retention for a mailbox.
- First of all, Navigate to the Recipients >> Mailboxes
- After that, from the list view, select a mailbox, and then click on Edit icon
- Now, on the mailbox property page, click on the Mailbox usage, then click on More options, and select one of the following:
- Use the default retention settings from the mailbox database-Use the deleted item retention setting that is configured for the mailbox database.
- Customize the settings for this mailbox -Configure deleted item retention settings for the mailbox.
- Keep deleted items: This shows the length of time that deleted items are retained before they are permanently deleted & it cannot be recovered by the users. When the mailbox is created, this time limit is based on the deleted data items retention settings, which is configured for the mailbox database. A mailbox database is by default configured to contain deleted items for only 14 days. The time range for this property is 0 to 24855 days to access recoverable items folder.
- Do not delete items permanently until the database is backed up -It allows to prevent mailboxes & email messages from being deleted until after the mailbox database on which the mailbox items is located has been backed up.
